HOW TO ACTIVATE THE PLAN

Initiation of this Plan is the responsibility of the Team Leader of the Response Management Team.

This section outlines how to activate the plan for the most common occurrences which are:

  • Fire
  • Water
  • Intrusion
  • Sabotage

Fire

Fire alarms will ring in ______________

The _______________ will call the affected area to confirm that the alarm is real (during working hours only).

If a fire situation is confirmed or if no confirmation of "no fire" is not immediately available, he will sound the alarm by notifying the Fire Department.

The Manager of the affected area will ensure that the alarms are sounding and that evacuation is taking place.

The manager will notify the Team Leader of the Response Management Team (RMT-TL) of the incident.

After evacuation, the RMT-TL will notify the Team Leaders of the other teams to begin the activation of their roles.

Water

During working hours, water may be noticed by personnel on duty; after hours, water entrance will be seen by security or building personnel or by the activation of water sensors.

The ____________ will call the Manager of the affected area to confirm that the alarm is real (during working hours only).

If a water situation is confirmed or if no confirmation of "no water" is not immediately available, he will sound the alarm by notifying Building Services and the Team Leader of the Response Management Team (RMT-TL) of the incident.

During working hours, the Manager will ensure that any computer systems are shut down as quickly as practicable and that protective covers are installed over the equipment.

The RMT-TL will notify the Team Leaders of the other teams to begin the activation of their roles.

Intrusion

During working hours, a break-in must be immediately reported to The Company Protection Services; after hours, evidence of the break-in will be seen by security or building personnel or by the activation of sensors.

The Protective Services Duty Officer will call the Manager of the affected area to confirm that the alarm is real (during working hours only).

If a break-in is confirmed or if no confirmation of a break-in is not immediately available, he will sound the alarm by notifying the Police and the Team Leader of the Response Management Team (RMT-TL) of the incident.

The RMT-TL will notify the Team Leaders of the other teams to begin the activation of their roles.

Sabotage

When sabotage is detected, it may be physical or logical. If physical, it must be reported to Protection Services; if logical, the Manager of the affected area will notify the Team Leader of the Response Management Team (RMT-TL) of the incident.

The RMT-TL will notify the Team Leaders of the other teams to begin the activation of their roles.

The activities for the Response Teams follow their written procedures.

EVACUATION POLICY

The Company has established an "Evacuation Policy" which states:

  • Evacuation of the building will be initiated by either the sounding of the fire alarm or upon verbal communication from the Security Officer or Floor Wardens.
  • All employees should immediately proceed to the stairs applicable to the section of the building they are in at the time of evacuation.
  • Should you be aware of anyone with a walking disability in your vicinity, please take responsibility for assisting that person down the stairs.
  • Once outside, immediately go to the assembly point designated for your business unit.
  • Do not go back into the building until advised by the Designated Meeting Place Supervisor or the Fire or Police Departments.

ACTIVATION OF A DESIGNATED HOT SITE

The responsibility for activating any of the designated hot sites or back-up resources, if that is appropriate to the disaster, is delegated to the Director of the Information Technology (I.T.) Department or to the Team Leader of the ____ Team. In the absence of either of these, responsibility reverts to any member of the Recovery Management Team. Within four hours of the occurrence, the I.T. Director or alternate, will determine the prognosis for recovery of the damaged functional area through consultation with the Damage Assessment Team. If the estimated occupancy or recovery of the damaged functional area cannot be accomplished within eight hours, then plans are initiated to move to the hot site. If there are normal occupants of the designated back-up site, they are notified of the intention to occupy their facility.

DISSEMINATION OF PUBLIC INFORMATION

The Director of the Public Relations Office, or the Team Leader of the Corporate Communications Team, is responsible for the release of all information on behalf of the company. This includes press releases, interviews and written information.

In addition, this person is responsible for directing all meetings and discussions with the news media and the public. In the absence of a representative from this office, the responsibility reverts to the senior official present at the scene.

PROVISION OF SUPPORT SERVICES

During and following a disaster, Support Teams, under the heading of Response Teams, are responsible for aiding all other Teams, particularly in administrative matters. They operate under the direction of the Response Management Team.
